Printable scheduler checklist
Check the rules before you start moving names around
Use this before building a weekly schedule, after a major change, or when handing scheduling responsibility to someone new.

Required coverage
Start with the operation, not the names.
- List every responsibility that must be staffed for the planning period.
- Record how many people each responsibility needs.
- Confirm which requirements change by day, shift, site, or team.
- Identify responsibilities that can remain open temporarily versus those that block the schedule.

Eligibility and qualifications
Know who is actually a valid option.
- Confirm which people can perform each restricted responsibility.
- Identify scarce qualifications before using those people in flexible roles.
- Check supervisory, certification, experience, or authorization requirements.
- Flag pairings or combinations that are required or should be avoided.

Availability and constraints
Remove impossible assignments before building.
- Apply approved leave, time off, appointments, training, or other absences.
- Check maximum work streaks or weekly work limits your team follows.
- Identify standby or relief personnel that should remain available.
- Confirm any individual restrictions that affect assignments this week.

Build and review
A complete-looking schedule can still be wrong.
- Fill the hardest or most constrained responsibilities first.
- Review every required slot for open coverage.
- Check whether the same qualified people are being overused.
- Make deliberate manual exceptions instead of silently ignoring a rule.

Publish and communicate
Make one version authoritative.
- Confirm the schedule being shared is the final approved version.
- Give the team a consistent place to view the current schedule.
- Record late changes instead of circulating another disconnected copy.
- Make sure the next scheduler can understand why unusual assignments were made.
Every required responsibility is either assigned or deliberately marked unresolved, and the version being published is the version the team should follow.
